
Two Important Documents
Two important documents that I have found on the Ontario Child Care Setting are :
Accident Report & Incident Record
What it is
An Accident Report ( can be mixed together with an incident form) is a record finished by the child-care centre anytime a child gets injured or tangled up in an incident affecting the child's health and safety while in the centre's care. The licensing guidance for Ontario stated, " Any time an accident report is completed, it must be noted in the daily written record." (Ontario Licensing Guidance 2025)
Requirements for completion
- Child's name
- The person who filled out the report
- Date and time of the account or injury
- Try to give as much description of the accident as possible, or how the injury occurred.
- What kind of first aid was performed, or how did you respond
- How or when did you notify the parents of the child and give them a copy of the report? Was it a hard copy or electronic?

Purpose
The purpose is to document what really happened, to always make sure that the parent of the child is given a heads-up, and even to let your staff members who weren't present at the time of the accident look over the file so they can supervise the child. For example, a child who has a bump on the head might need attention for any signs of concussion symptoms. That can help change the surroundings, or oversight can be made. (Ontario Health and Medical Supervision 2025)
Immunization & Medical Exemption & Health Forms
There is only one set of forms that connects to immunization records and exemptions for children in licensed child-care settings. For Infants in a licensed Ontario setting, the terms are set in stone in the health & medical supervision of the licensing manual. (Ontario Health and Medical Supervision 2025)
Requirements
Start at part 5 of Health and Medical Supervision of the licensing Manual:
- If children are not attending school must have all paperwork around immunization, would either evidence of immunization or one to two completed forms. This should be kept in the child's record at all times and be filed by the time the child begins enter into to enter the centre. (2025)
- All forms should follow the ministry outline and be completed correctly.
- All settings must keep the documentation in the child's file and to make sure that it is always available for inspectors at all times. (2025)
Purpose
- To safeguard the health of all the children and staff as well in the program by assuring that children are immunized or have a documented completion
- To make it easier for the centres to know which child or staff member is not immunized, have a valid document. This protects Infants at all costs, who are more vulnerable.

In the Childcare environment, Early child educators can simply apply Canada's Food Guide by suggesting a balance between meals and snacks that could normally include vegetables, fruits, whole grains, and even proteins for strength. Make a schedule with movement breaks in the morning and afternoon to keep the children active and help support their growth. (Health Canada, 2019)
